Your Convention Badge

If you have paid in full or have submitted a purchase order (PO) to TCEA, you will receive an email confirmation with a QR code which allows you to proceed to the quick-print badge printing line to receive your badge.

If you have not paid in full or need to register onsite, you can pay by check, credit card, or purchase order. You must have a physical copy of the purchase order.

Registration can be found in the Solar Atrium on Level 1 of the Austin Convention Center. Registration is open at the following times:

Saturday, February 3
8 a.m. – 6:30 p.m. 

Sunday, February 4
7 a.m. – 5:30 p.m.

Monday, February 5
7 a.m. – 5:30 p.m.

Tuesday, February 6

7 a.m. – 3 p.m.

Parking Information

Carpooling, using public transportation, or taking the TCEA shuttle service is encouraged. There are two public parking garages for the Austin Convention Center (ACC). If you would like to find additional parking options nearby, Parkopedia is a helpful resource. Shuttle service is available for select hotels, so be sure to look over the shuttle schedule and shuttle routes in advance.

Convention Badge Policies
  • Attendees must wear TCEA Convention badges during all convention events.
  • If you lose your badge, please go to Registration in the Solar Atrium on Level 1 for assistance.
  • Attendee badges have a printed code that contains the information collected during registration. Please do not mark through or cover your barcode. This code must be readable, and you will scan your badge when entering sessions to track your CPE credits.
  • Vendors/exhibitors may ask your permission to scan your badge to collect your information for in-booth prize drawings, post-event follow-up, or other purposes. Please decline their request if you do not wish to share your information with them.
  • Sharing your convention badge with others to allow entry to the event, presentations, the exhibit hall, or affiliated events is not permitted. Any violation of this policy will result in automatic revocation of all earned CPE credits and may result in removal from the event and future TCEA events.
  • One-Day Badges will only be valid for the day you chose when registering for the convention. You will not be admitted to the event on any other day.
  • Exhibit Hall-Only Badges will give you full access to the exhibit hall and exhibitor showcase sessions Sunday, Monday, or Tuesday. This badge will not provide you with access to sessions, hands-on experiences, interactive learning areas, or Power Hour sessions.
Securing Seats for Presentations
  • Most rooms are set to the capacity approved by the fire marshal.
  • Participants will be seated in the order of arrival until the room reaches capacity.
  • Saving seats for other participants is not permitted. 
  • Standing or sitting in the aisles of presentation rooms is not permitted.
  • All participants will be asked to leave the presentation room at the end of the session.
TCEA Event Participant Policy

TCEA is committed to providing a safe, productive, and welcoming environment for all event participants. All participants, including but not limited to attendees, speakers, volunteers, exhibitors, TCEA board members, TCEA staff, service providers, and others, are expected to abide by the TCEA Event Participant Policy. This policy applies to all TCEA events and affiliate-related events, including those sponsored by organizations other than TCEA held in conjunction with TCEA events.

Code of Conduct

TCEA is committed to diversity and to providing a harassment-free event experience. All attendees have the right to a safe and welcoming environment.

Harassment includes offensive verbal or written comments or negative behavior –in real or virtual spaces– related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, or religion.

Harassment also includes the display of sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, and unwelcome physical contact or sexual attention.

Participants asked to stop any harassing behavior are expected to comply immediately. TCEA may take any action we deem appropriate, including warning the offender or ejecting the offender from the event and/or future events.

If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a TCEA board or staff member immediately. Anyone experiencing or witnessing behavior that constitutes an immediate or serious threat to public safety is advised to contact 911.

Event Correspondence and Use of Your Contact Information

TCEA uses your postal and email address to communicate with you regarding news, events, and membership resources. Your email address is not provided to vendors, partners, or any third party without your permission.

TCEA may provide attendee email addresses to participating vendors if the attendee has given permission to receive vendor communication. If you visited an exhibitor’s booth during a tradeshow (TCEA or another conference) and allowed them to scan your badge or provided them with your contact information (i.e. business card), they have collected your information with the understanding that you would like them to follow up with you for more information. Vendors may store this information and use it for follow-up and/or their cross-promotional marketing efforts at future events.

In some cases, the postal mailing address you provide on your registration form may be shared with registered exhibitors so that you can be notified of special promotions related to your interests and/or invitations for vendor-hosted events that are held in conjunction with a TCEA event.

Please notify us of any harassment or inappropriate activity that you feel is directly related to your participation at a TCEA event.

Health and Safety Protocols

TCEA holds the health and safety of its members, partners, and visitors as its top priority when hosting in-person events. We strive to facilitate outstanding experiences, and our commitment to creating a safe environment comes first. TCEA will abide by city, county, and state health and safety orders in which the event is taking place, as well as take precautions to protect those in attendance.

There is an inherent risk in participating in any activity. Due to the circumstances created by COVID-19, there is a heightened degree of personal risk and responsibility. TCEA will take all legal, prudent, and advisable measures to reduce the risk of virus/illness transmission. However, despite our best efforts, we will be unable to reduce the level of risk to zero.

By participating in in-person TCEA events, attendees acknowledge these risks and agree to abide by all guidelines. TCEA attendees will not hold anyone else accountable, including TCEA should they contract an illness or should anything else happen to them during their participation at TCEA events. Attendees understand that they are responsible for monitoring their own health status and should not attend an event if they are symptomatic in any way or believe they have been exposed to COVID-19.

TCEA will communicate with all in-person participants prior to their arrival with specific requirements and recommendations so that you may adequately prepare for the best experience possible when participating in TCEA events.

Waiver of Claim

In the course of your attendance at TCEA events, photographs and video may be taken of you by TCEA or others on behalf of TCEA to capture activities. This media may be used for advertising and promotion without any compensation to you, and you release TCEA of any liability thereto. If you do not authorize TCEA to use your image, please email tceaoffice@tcea.org.

Age Restrictions

To provide all TCEA attendees an optimal learning environment, children under the age of 16 are not permitted into sessions, workshops, or the exhibit hall during show hours, installation, or dismantling. Children ages 16 and older must be registered for the convention and must be accompanied by an adult for admission. Children under the age of 16 who are participating as co-presenters in a session must contact Janny Vasquez at presenters@tcea.org or (512) 450-5412. We appreciate your understanding and cooperation with this policy.

Onsite Tech Assistance

Limited tech support will be available during the convention. We will make every possible effort to ensure your experience as an attendee, presenter, or vendor is the best it can be. However, we are limited in the support we are authorized to provide. We will not be able to install software, and you are encouraged to contact your district support staff to verify your laptop can connect to public wireless access.

Mobility Scooter Rentals

Mobility scooters are available to rent through the Business Center at the Austin Convention Center. If you would like to rent a scooter, please contact Marti McCollough at marti.mccollough@austintexas.gov or tel: 512-404-4014.

  • Scooters are located at the Business Center between Exhibit Halls 2 and 3.
  • Scooters are for use inside the Austin Convention Center only.
  • Reservations are due 30 days prior to the event. Requests received within 30 days of the event are subject to availability and cannot be guaranteed.
  • Current rates: $45/1 day, $80/2 days, $120/3 days, $160/4 days. (Credit only, no mobile pay)
  • Rental requires a $50 deposit, which is refunded once the scooter is returned/undamaged. (Credit only, no mobile pay)
  • A rental agreement, waiver form and payment are required at the time of rental.
Requests for Interpreters

Accommodations will be made available to our deaf and hard of hearing participants if requested. If you would like to request accommodations, please indicate this during the registration process or send an email directly to jvasquez@tcea.org before January 12, 2024 . Those requesting accommodations must provide their anticipated schedule when submitting their request.

Nursing Mothers

Austin Convention Center has two private rooms for nursing mothers:

  • Level 1 – Located beside Room 1
  • Level 3 – Located across from Room 10C

Maps with the locations marked on them will be available during the Convention.

Emergency Services

Emergency medical services will be available during event hours on Level 1 (outside Exhibit Hall 4, Trinity Street side).
