Accomodation Requests

Deaf and Hard-of-Hearing

ASL interpreting services are available to our deaf and hard-of-hearing participants upon request. To request ASL interpreting services, please complete the ASL Interpreting Request Form by January 8, 2027. We will make every effort to accommodate requests received after this date, but we cannot guarantee the same level of service for late submissions.

Those requesting ASL interpreting services must provide a complete anticipated session schedule by January 19, 2027, including the date, time, and session title for each session they plan to attend. Interpreter coverage will be coordinated based on the submitted schedule, not general Convention attendance dates or hours.

Because TCEA is a large, multi-track conference, interpreter and support assignments are made in advance based on your submitted schedule. While we will make reasonable efforts to accommodate same-day session changes, we cannot guarantee full coverage for unscheduled shifts in attendance. We appreciate your partnership in helping us plan effectively.

Blind or Low-Vision

Attendees who are blind or have low vision may request accommodations to support their participation in the Convention. To request support, please complete the Blind or Low-Vision Accommodation Request Form by January 8, 2027. We will make every effort to accommodate requests received after this date, but we cannot guarantee the same level of service for late submissions.

Those requesting accommodation services must provide a complete anticipated session schedule by January 19, 2027, including the date, time, and session title for each session they plan to attend to help us coordinate accessible materials and support. While we will make reasonable efforts to accommodate same-day schedule changes, we cannot guarantee full coverage and support for unanticipated schedule changes. We appreciate your partnership in helping us plan effectively.

Age Restriction

To provide all TCEA Convention & Exposition attendees with an optimal learning environment, children under the age of 18 are not permitted into sessions, learning labs, or the exhibit hall. Attendees 18 and older must be registered for the Convention to gain access to these areas.

Student presenters: Children under the age of 16 who are participating as co-presenters in a session must be registered as a student presenter, be accompanied by a guardian at all times, and wear their student presenter badge while in the Henry B. González Convention Center.

Emergency Services

Emergency medical services will be available during event hours on Level 1. EMS stations are located inside Exhibit Halls 1 and 2, near the entrance doors.    

Mobility Scooter Rentals

Tom’s Wheelchair & Scooter Rentals can assist you if you need to rent a scooter or wheelchair. To ensure availability, we encourage you to reserve a wheelchair or scooter in advance by calling 210-223-7878. Tom’s Wheelchair & Scooter Rentals can deliver your scooter to hotels in downtown San Antonio at no charge.

A representative from Tom’s Wheelchair & Scooter Rentals will be available in Exhibit Hall 1 on Sunday, Jan. 31, from Noon – 6 p.m., and Monday, Feb. 1, from 7 a.m. – 9 a.m. Outside of those times, Tom’s is available by phone (210-223-7878) to assist you.

Nursing Mothers Rooms

Henry B. Gonzalez Convention Center has two private rooms for nursing mothers:

  • Level 1 – Room 1212 (Located in the Main Lobby corridor between Exhibit Halls 3 and 4)
  • Level 2 – Room 2137 (Located next to Room 215 in the Park View Foyer)

Onsite Tech Assistance

Limited tech support will be available during the Convention. We will make every possible effort to ensure your experience as an attendee, presenter, or vendor is the best it can be. However, we are limited in the support we are authorized to provide. We will not be able to install software, and you are encouraged to contact your district support staff to verify your laptop can connect to public wireless access.
